One

Federal rules everywhere, a provincial layer on top

Federal source deductions (CPP, EI and income tax) follow the same rules in every province except Quebec. There the Quebec Pension Plan replaces the CPP, EI is charged at a lower rate, and Revenu Québec handles Quebec income tax and parental insurance. HBT sets up the employee records, runs each pay cycle and remits what is owed by the due dates.

What differs is the layer on top. Ontario, British Columbia, Manitoba and Newfoundland and Labrador charge employer health or education taxes above a payroll threshold, Quebec has a health services fund, the Northwest Territories and Nunavut withhold 2% from employees' pay, and every province and territory has a workers compensation board. HBT checks which of these apply before the first pay run.

Two

What a payroll engagement covers

Setup and pay runs

Employee records, TD1 forms and the pay schedule, then each pay run calculated and reviewed.

Remittances on time

Source deductions sent to the CRA, and to the province where one applies, by their due dates.

T4s, ROEs and year end

Slips and records of employment prepared and filed by their deadlines.

Three

How the work begins

  1. Step 1: List your employees and provinces

Where each person works, how often they are paid and what is already set up with the CRA.

  2. Step 2: Agree scope and fee

Setup and monthly fees written down before the first pay run.

  3. Step 3: Run the first cycle together

A first pay run checked line by line, then a steady schedule.

Four

Can HBT run payroll for employees in another province?

For most provinces, yes, when the scope fits. Outside Quebec, federal deductions work the same way everywhere, and HBT adds the provincial levies and board accounts for the province where the employees work. Quebec payroll differs (QPP instead of CPP, a lower EI rate and a separate Revenu Québec registration), so HBT confirms fit for Quebec payroll in the first conversation before agreeing to it.
