Holdbacks, prompt payment and the slips that follow

Construction accounting goes wrong in places other industries never encounter. Alberta moved to the Prompt Payment and Construction Lien Act in August 2022, which sets a 28 day window for an owner to pay a proper invoice and 7 days for a contractor to pay subcontractors after being paid. Statutory holdbacks still apply on top. Revenue recognised, cash received and amounts still held back can be three very different numbers in the same month.

If those are not tracked separately the books show a profit that has not arrived, or a loss that is only a timing difference. HBT keeps holdbacks, progress billings and retainage visible rather than buried, prepares the T5018 slips for payments to subcontractors, and coordinates GST and WCB reporting alongside the year end so the whole picture reconciles.

Before you call

What happens on the first call

The first conversation is free and takes about 10 to 15 minutes. A team member in Calgary answers, asks what is urgent, and explains the useful next step. There is no obligation to start an engagement.

  1. Step 1

    Tell us the pressure point

A CRA letter, a filing deadline, messy books, payroll, or a decision you need to understand.

  2. Step 2

We ask a few practical questions

Entity type, province, records, software, and the date that matters. You do not need a perfect file first.

  3. Step 3

You leave with a next step

We explain the work, the information required, timing, and price before anything begins.

Fees

How we price the work

The first conversation is free. Starting fees are published on the fees page. Those amounts are starting prices and subject to 5% GST. Final fees depend on complexity, volume, record quality and scope. Fixed fees are provided where the engagement scope can be determined in advance. You will know the price before paid work starts.

Service scope

What a construction engagement usually covers

The exact responsibilities, timing, and records depend on the agreed engagement. These are the areas we can discuss when shaping a scope that fits your business.

Holdbacks kept visible

Amounts billed, received and held back tracked separately so the books reflect the real cash position.

Subcontractor reporting

Subcontractor payments recorded through the year and T5018 slips prepared at the reporting deadline, from $150 per slip.

Payroll, WCB and GST together

Site payroll, remittances and GST coordinated rather than handled as three separate problems.

How the work begins

A clear process before the accounting starts

  1. Step 1

    Map how you bill

Progress billing, holdback terms, how many subcontractors, and which accounts are already behind.

  2. Step 2

    Scope and fee agreed

Including slip volumes and any catch up, priced and confirmed before paid work begins.

  3. Step 3

    Tracked through the season

Monthly books, GST on schedule, slips prepared on time, year end without a reconstruction.

Common question

Do you prepare T5018 slips for subcontractor payments?

Yes. T5018 preparation starts at $150 per slip. Construction businesses that pay subcontractors generally have to report those payments to the CRA on the T5018 information return. We prepare the slips as part of the year end work and keep the underlying subcontractor records through the year so the filing is not assembled from scratch.
